This sample policy explains how ApplicationHub can collect, use, protect, and manage applicant information. Buyers should adapt this policy to their business and applicable laws.

1. Information collected
Depending on the application type, the platform may collect applicant names, contact details, country, phone number, email address, role or organization information, application responses, optional date of birth, supporting documents, and other information voluntarily submitted through an application form.
2. How information is used
Information may be used to receive applications, review submissions, communicate with applicants, request clarification, manage application status, maintain records, prevent abuse, and support legitimate administrative operations.
3. Uploaded documents
Supporting documents are stored in protected server-side storage and are designed to be accessed through the authenticated administrator workflow rather than predictable public file links.
4. Security
Included controls include administrator authentication, session timeouts, CSRF protection, server-side validation, rate limiting, controlled file access, secure password hashing, audit logging, and encryption of selected database fields. Buyers remain responsible for secure hosting, HTTPS, backups, updates, and production hardening.
5. Retention
Application information should be retained only for as long as reasonably necessary for the purpose for which it was collected or as required by applicable legal and operational obligations.
6. Access to information
Access should be limited to authorized administrators and technical service providers who need the information to operate or support the service.
7. Applicant rights
Depending on applicable law, applicants may have rights to request access, correction, deletion, restriction, objection, or a copy of their personal information.

9. Buyer responsibility
ApplicationHub is a software product. Each buyer is responsible for replacing this sample policy with terms that accurately describe their organization, hosting environment, legal basis, retention practice, and jurisdiction.
